Best Practices for Organizing and Prioritizing Work
1. Sort and Prioritize Work Items
It is very important to identify what and when to execute tasks. Swimlanes are easily movable in the columns in the Kanban Board. You can easily move the issues between various task categories such as In-Progress, On-Hole, etc. Also, it is better to use the Group By Filtering and custom search settings in Kanban Board to easily find issues or tasks to know their status even if your project has many tasks and activities. Also, you sort the items according to their category.
2. Manage Work in Progress (WIP) Limits
One key practice in the Jira Kanban Board is that you can set a limit for the number of tasks in the column. This limit is called the Work-In-Progress Limit which is defined as per the team’s capacity. This practice helps us to ensure that the team completes existing tasks before starting the new ones.
3. Use Mentions and Comments to Collaborate
Communication is a key aspect of collaborating with the team members. Therefore, using features such as mentions and comments in the tasks helps us to keep all members updated about the project’s progress. Also, you should schedule the stand-up sessions to regularly update the team about current and upcoming project plans. You can also create the Project Page to keep all the project updates in one place so that the team can easily access them.
4. Use Automation Feature
Whenever changes or updates are made in the Kanban Board, you can automate some triggers so that you do not need to notify your team manually about any event. For example, if the task is moved from ‘Hold’ to ‘In-Progress,’ you can create a trigger that automatically assigns it to the person who moved that task into progress. There are various templates available in the Kanban Board for automation. However, if you want to create a custom automation, Kanban also allows you to do that.
5. Integrate Jira with Other Tools
If some custom tools are required for your Project, you can integrate them into the Jira. Atlassian Marketplace provides various tools and applications available for integration with the Jira Tool. Thus, you can easily use the integration tools for test management, custom time tracking or work logs, etc. in your existing Kanban Workflow in the Jira. You can easily search them in the ‘Apps’ menu in the Jira Kanban Board and find them using the various categories and filters.
6. Utilize Tracking and Analyzing Metrics
Tracking and Analyzing the workflow is very important for the project execution as it tells how efficiently the project plans are being executed. As a best practice, you should utilize the Reports feature in the Kanban Board. It provides various metrics such as Cycle Time Reports, Cumulative Flow Diagrams, Deployment Frequency Reports, Sprint Burn down Charts, Velocity Reports, and Burnup Reports so that you can track and analyze your workflow.
7. Handle Dependencies with Labels
Kanban Board allows you to use multiple cues such as Flags and Labels to handle the dependencies and restrictions on the various project tasks. You can also attach files or web links as a reference so that the assignee can easily identify what action to take for that issue. In addition to this, if a dependency is common to multiple tasks, you can make dependency a parent task and add multiple child issues to it.
8. Clean and Maintain Board for Accuracy in Reports
It is always a best practice to clean the workspace by archiving the completed tasks and removing unnecessary actions from the workflow. For this, you can maintain a dedicated column with the name ‘Archived’ and move all the completed tasks to it so that the Board remains clean. This will help to achieve accuracy in the reports and analysis of the workflow.
